Job Description

Your Role

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative and operational support to senior leadership. The ideal candidate will act as a trusted partner, ensuring efficient management of schedules, communications, and business priorities while maintaining the highest level of professionalism and confidentiality.

In this role you will play a key role in:

Administrative Support

  • Manage and maintain executives’ calendars, including scheduling meetings, appointments, and travel arrangements.
  • Coordinate internal and external meetings, including preparing agendas, presentations, and minutes.
  • Handle correspondence, emails, phone calls, and other communications on behalf of the executive.

Coordination & Communication

  • Serve as the primary point of contact between executives and stakeholders.
  • Liaise with internal teams and external partners to ensure smooth communication and execution of tasks.
  • Follow up on action items and ensure timely completion of deadlines.

Travel & Event Management

  • Arrange domestic and international travel, including flights, accommodation, and itineraries.
  • Organize and support events, conferences, and meetings.

Document & Data Management

  • Prepare reports, presentations, and documents as required.
  • Maintain records, files, and confidential information securely.
  • Assist in data analysis and tracking key performance indicators.

Operational Support

  • Support business operations and strategic initiatives as directed by executives.
  • Assist with budgeting, expense tracking, and vendor management.
  • Identify and implement process improvements for efficiency.

YOUR PROFILE

  • Bachelor’s degree in business administration or a related field.
  • Proven experience as an Executive Assistant or in a similar administrative role.
  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • High level of discretion and confidentiality.
